(i)    Invitation to the Inauguration of "The Robert B Banks Auditorium" and "Thanat Khoman Lecture Series"

Email from President (7 Feb. 2018)

Dear Members of the AIT Community,

The AIT Board of Trustees at its meeting on 20 July 2017, had approved my proposal to honor the late AIT President Professor Robert B. Banks by naming the AIT Auditorium as "The Robert B. Banks Auditorium". Professor Robert B. Banks served as the President of AIT from January 1977 to July 1982, succeeding the founding AIT President Prof. Milton E. Bender Jr. and is remembered for the important contributions he made towards the growth and development of AIT during his Presidency. Prior to that, Professor Banks held the position of Vice-President and Provost. During his distinguished career, Professor Banks was recognized for his outstanding contributions to education and received numerous honors and awards, including the Commandeur dans l'Ordre des Palmes Academiques from the Government of France, and the Most Exalted Order of the White Elephant from His Majesty the King of Thailand.

I am pleased to inform you that the John F. Kennedy Foundation of Thailand for Thai-American Friendship is sponsoring a special lecture series in honor of H.E. Dr. Thanat Khoman, the Late Chairman Emeritus of the AIT Board of Trustees and former Deputy Prime Minister and Foreign Minister of Thailand. Dr. Adrian R Chamberlain, former President of the Colorado State University (CSU) has been invited as the inaugural speaker for the lecture series. There will be a Milton E Bender Lecture at AIT on 20 February 2018, followed by a Thanat Khoman Lecture on 22 February 2018 in Bangkok.

Prior to the start of the Milton Bender Lecture on 20 February 2018, we will have a special ceremony to inaugurate “The Robert B. Banks Auditorium", also in light of the close bond former President Banks shared with President Bender. On behalf of the AIT community, I would like to extend a most cordial welcome for members of the AIT community to participate in this important event, which will showcase AIT's appreciation for the great contributions made by President Robert B. Banks. You are cordially invited to participate in the Milton Bender Lecture and Thanat Khoman Lecture as well. The program for the two events are enclosed for your kind information and perusal.

I would like to request if you could please kindly inform colleagues or friends whom you are in contact with who knew or had association with President Banks about these events.

Please kindly register your participation through the below link.

(ii)    Official Travel

Email from President (6 Feb. 2018)

To AIT faculty and staff,

Please be advised and reminded to strictly comply with Institute Policy & Procedure (P&P) statements, including the one for Faculty and Staff Official Travel (FB-4-1-1).

It has recently been brought to my attention that administrative units and relevant offices have been lax when Institute P&Ps are not being followed. Thus, School / Department / Center / Program administrative staff are specifically urged to be vigilant, and to inform their faculty and staff members of acceptable stipulations and to point out any practices contrary to Institute P&Ps.

Some of the stipulations that are not strictly observed, include, among others, the following:

The traveler should complete the RRTE form within 30 days of completion of the trip. Any unsettled advance for travel expenses after this due date will have an interest penalty of 1.5% per month. The outstanding amounts will be deducted from the requestor’s payroll after an overdue period of two months. The Institute reserves the right not to grant renewal / reappointment of employment contract unless all overdue RTA is settled upon submission for approval of employment renewal / reappointment to the administration.

Any change in routing requires approval by the President or delegated Vice President, upon endorsement of the Dean or Unit Head, with justification to be provided by the traveler through a memorandum.

Only a non-endorsable economy class air ticket by an acceptable carrier is allowed. Business class is not allowed. However, one’s accumulated Professional Development Fund (PDF) may be used to supplement the additional cost of upgrade to business class travel.

The Institute, through the Dean or Unit Head, reserves the right not to approve succeeding RTAs unless reports of previous travels are submitted.

Only those items shown in the RTA form will be reimbursed to the traveler(s), i.e., requestor and accompanying persons. The approved RTA form will form the basis for the maximum authorized travel expenses.

Normally, all reasonable and allowable costs associated with official travel are reimbursed, but any departures from the approved schedule of costs itemized on the RTA must be justified by valid documents, and payment authorized by the President or delegated Vice President.

Requests for international travel authorization must be submitted as early as possible, but, in any case, no later than two weeks before the proposed departure date. AIT assumes no responsibility for requests submitted at shorter notice.

Requests for domestic travel authorization must be submitted as early as possible, but, in any case, no later than one week in advance.

Unless there are exceptional circumstances, no faculty and staff may receive an advance for travel expenses if he/she has an earlier advance which has not been settled.

The traveler should submit a travel report upon completion of each and every trip. The report shall summarize the activities, accomplishments and necessary follow up activities, if any, and corresponding responsible person or unit. The travel report shall be submitted to the Dean or Unit Head along with the Request for Reimbursement of Travel Expenses (RRTE).

Since the approved RTA form the basis for the maximum authorized travel expenses, the traveler may be advised to cover the excess amount from their accumulated Professional Development Fund or salary, unless justifications for departures from the approved schedule of costs provided by the traveler through a memorandum, upon endorsement of the Dean or Unit Head, are approved and payment authorized by the President or delegated Vice President.

Please be guided accordingly.

Thank you.

Professor Worsak Kanok-Nukulchai
AIT President
